Your logbook is private to your driver account. Entries are saved in the cloud.
Your administrator uploads the depot rosters once. Enter your name, choose your depot and roster, and we find your current position. If your depot roster is missing, upload your own below.
Choose a PDF or photo showing your name and dated duties. We look for your name, then you check the result before saving. Your reviewed duties are saved privately to your pilot account on Cloudflare. The source file is read for this preview; keep your original copy.
This imports the dates shown, not an undated repeating pattern. Diagrams and block leave need matching depot documents.
Compare every date, turn and time against your screenshot or PDF. You can correct a box before saving.
A prepared Excel, CSV or JSON roster can still be imported through the advanced route if needed. Your saved duties are kept when you link a dated roster.
Your entries are saved to your pilot account. Download a backup after making changes, and keep it with your project folder.
Names and line numbers are matched in the background. Your existing saved duties stay in place when you link a roster.
Your administrator needs to publish the daily duties for this roster. You do not need to upload it again. Until the duties appear, use your depot’s published roster.

Your annual allowance plus any carried-over days. Use the figures confirmed by your employer.
Charged days exclude rostered rest days where your roster is available. Check against your leave approval. Editing or archiving a booking does not undo leave already added to your roster.
New notice uploads are shared with everyone in your depot. Red notices stay for 72 hours, then move to New for 3 weeks and General for 5 weeks before being filed. Speed restrictions stay in Red while applicable, then are withdrawn directly and kept in the searchable archive. Dates and times use UK time. Red notices can be linked to duties.
No automatic time limit. Notices stay here until withdrawn.
Filed copies are kept for reference. In Ask My Roster, include historical editions to search their contents.
Notices in these cases are available to everyone in your depot. Always check the current official notices and operational instructions. There is no connected rule-change feed.
Short steps for iPhone, Samsung and other Android phones. You can use Pilot in your browser; installing a home-screen icon is optional.
Any signed-in driver can share the original weekly PDF packs for their registered train company. Keep all depots in the pack: Pilot matches each driver's depot, current turn and date.
Other drivers do not need to upload the same packs. Their Amended diagrams list checks for updates while open, normally within a minute, and when they return to Pilot. Opening a duty diagram checks the latest published pack.
No matching diagrams: a shared pack can cover other turns or dates. Check your month and linked depot in My account. A diagram is shown only for a matching current duty. Leave and unresolved changes do not show a working diagram.
Already available: another driver has shared the same pack. No second copy is needed.
Older edition, conflicting pack or unreadable page: keep the original PDF and ask your administrator to review the exact message. Do not rename a file to try to bypass it.
Cancelled: check the latest mark-up or Resources for your replacement duty. Sharing a diagram never changes saved duty times, pay or calendar entries.
Upload interrupted: sign in again if asked and retry. Packs already saved are retained; the remaining packs can be shared again.
Home shows your selected duty. Use Previous, Next or swipe the duty card. Tap Today to return. Open the diagram from your duty; check any timing difference against your latest instructions.
Open Roster → My mark-up files. Add the 7-day or 48-hour photo or PDF, check your name, duty date, turn and times, then apply it. These personal files are separate from the shared weekly diagram packs.

iPhone: open Pilot in Safari, tap Share, then Add to Home Screen.
Android / Samsung: open Pilot in Chrome and open the three-dot menu. Look for Install and create shortcut, Install app or Add to Home screen; the wording depends on your version. You can also keep using the browser.
The calendar shortcut in My account → Calendar & saved files opens Apple Calendar. Android calendar setup is still being checked; you can always view your latest duties directly in Pilot. Calendar applications control their own refresh times, so a subscription is not an instant alert.
Subscribe to a separate calendar for this pilot. Confirmed duties and applied mark-ups appear after your calendar refreshes. Apple controls refresh timing; updates are not instant. Anyone with your private link can read these duties.

These are payroll’s cumulative figures as of that payday. They are shown separately and are never added to the running totals above. Blank categories mean the figure has not been provided.

Add a PDF or photo. Read it, check the suggested amounts, then save the breakdown against its payday.

Your current roster ends on 12 December. Do not use its repeating pattern for duties from 13 December onwards. New diagrams are needed too.
